Building a Microsoft 365 environment from zero for a Saudi SME
When an organisation starts from zero, sequence matters more than most people expect. A handful of day-one decisions will still be shaping the environment a year later, long past the point where changing course is cheap.
The order I follow
1. Domain and identity before anything else. The domain name ends up in every email address and every account, and changing it later is a project of its own. 2. Email authentication from the start: SPF, DKIM and DMARC. Defer it and six months later half your mail is landing in junk, and repairing sender reputation takes far longer than setting it up ever did. 3. Groups before users. Build the groups around roles, then add people to them. Grant permissions to individuals instead and every new hire turns into an administrative chore. 4. Devices: joined to the identity, disk encrypted with the recovery key escrowed to the tenant, not left with the employee, a standard naming scheme, and a signed handover record. 5. Internal systems come last, once the foundations have settled.
The decisions that are hard to reverse
Subdomain structure: change it later and you are rewriting links everywhere.
User naming: first name only, or first plus last? Pick one convention early and hold to it, because a mix irritates everyone forever.
Ownership of the top administrator account: put it in an organisational account from day one. A personal account leaves the company hostage to a single person.
What always gets forgotten
Backup. The platform protects you against server failure, not against an employee deleting a folder. Retention and recovery deserve a deliberate decision of their own.
Incident response. Incidents turn up in every environment, however tidy. The real question is who does what when one lands. Write the runbook while things are calm, because writing one during an incident is impossible.

How long does it take to set up a new employee? A full day means the environment is disorganised. Half an hour, following known steps, means it is working.
